Privacy Policy

1. Who we are
This policy explains how Dmitrii Sinichkin, an individual based in Tashkent, Uzbekistan, who operates Reconcio ("we", "us"), processes personal data when you visit https://reconcio.pro, use the Reconcio cloud service at https://app.reconcio.pro or contact us. Contact for privacy matters:support@reconcio.pro.
2. Two roles
For your account data (name, email, sign-in records) and for our correspondence with you we act as acontroller. For the files you upload for reconciliation — payment reports, ledger exports and anything they contain — we act as a processor on your behalf, under the Data Processing Agreement. In a self-hosted installation the files never reach us at all.
3. What we collect and why
- Account data: name, email, password hash, two-factor settings, language. Purpose: providing the service. Legal basis: performance of a contract.
- Usage and security records: sign-in times, IP addresses, an audit log of actions in the service. Purpose: security and fraud prevention. Legal basis: legitimate interest.
- Files uploaded for reconciliation: processed only to perform the reconciliation you requested, see section 2.
- Correspondence: emails you send us, including files sent for a free audit. Purpose: answering you and performing the audit. Legal basis: pre-contractual steps at your request.
- Website analytics: we measure visits to https://reconcio.pro with Umami, hosted by us, without cookies and without collecting personal data; IP addresses are used only to determine the country and are not stored. Details are in theAnalytics notice. Legal basis: legitimate interest in understanding how the website is used.
- Telemetry of self-hosted installations: a self-hosted installation may send us anonymous statistics — a random installation identifier, version, edition and aggregated counters. It contains no files, results or personal data of users and can be switched off by the customer.
The website does not use advertising or third-party tracking cookies.
4. Where data is stored
The cloud service is hosted in the European Union: application servers in Finland and databases in the Netherlands, in data centres of our hosting provider. Uploaded files and generated differences files are kept in a private bucket of an S3-compatible object storage provider in the EU. Database backups are encrypted and stored in object storage in the EU.
5. How long we keep it
- Uploaded files and differences files are deleted automatically after the retention period of your plan (from 1 to 90 days), or earlier when you delete the reconciliation.
- Files sent for a free audit are deleted right after the audit.
- Account data is kept while the account exists and deleted when you delete it.
- Audit log records are kept while the account exists; the email of a deleted user is erased from them.
6. Who we share it with
Only with sub-processors needed to run the service: our hosting provider (data centres in Finland and the Netherlands), an object storage provider in the EU (uploaded files and backups) and Unisender Go (delivery of service emails such as invitations and reports). When online payments are enabled, the payment provider will be added to this list in advance. Website analytics (Umami) runs on our own infrastructure and involves no third party. We do not sell personal data. Transfers outside the EEA, if any, rely on the European Commission's Standard Contractual Clauses.
7. Your rights
You can access, correct, export or delete your data, object to or restrict processing, and complain to a supervisory authority. Most of this is available in the service itself (profile settings, deleting reconciliations); for anything else write tosupport@reconcio.pro. We answer within 30 days.
8. Security
Encryption in transit (TLS), hashed passwords, optional two-factor authentication, role-based access and an audit log of actions. Backups are encrypted at rest.
9. Changes
We will announce material changes by email to account holders at least 30 days in advance.
